MIT Delhi organises its annual cultural festival of college every year in July and this time being Cultural Head I was made in charge of coordinating a three-day cultural festival of the college which is also called ‘Phoenix’. I still have two months to prepare everyone and build a team for functioning. Assigned with the responsibility I was thrilled to work on everything and firstly I marked the deadline for myself to complete all the tasks from finalising the invitation card to the final performance.
This helped me to set a goal for myself and understand the basics of how would I complete it. I started writing down all the small things which needed to be done to order flowers a day before the event to book the right musicians for the event. I also formed a small core team and divided them into different days to coordinate for all three days events which also included the grand opening and closing ceremony. These teams were further divided into tech and art groups so that we can keep track of both the functioning of lights and sounds and the practice of participants. Our team have this small meet every second day to understand how much work has been done.
The dance teachers have been assigned to five teams and we have planned to cover all the five major dance forms from five geographic regions that are north, south, east, west and central India. Every dance performance is unique in its forms with more than 100 participants putting effort daily into performing it in a better way. More than 50 participants are also performing in music instrumentals which will be opening performance of the cultural events and will be performed with more than 12 instruments. The performance stage is big enough to accommodate 50 people at a time and this stage requires more than three weeks to stand hence the stage team will be starting the work as soon as possible. The stage is being made in the big field which could accommodate more than three hundred people.
I have also sent the invitation to the Ministry of Tourism regarding the events and invited him to honour our event with his presence as a chief guest. We are still waiting for his official confirmation which would reach us sooner. We have also invited many famous personalities who could grace the event their presence and the love audience would get by them. The cultural events date has been decided by the authorities on the meeting as 16th July 2021 to 18th July 2021 and the duration of the event is four hours which includes opening ceremony, live concerts, comedy shows, musical nights and dance performances which is divided into different days.
The exclusive book stores and small fair with the handmade shop has been decided to be open to all for nine hours. The premises will be decorated by the decoration team with lights, flowers, fabrics and everyone at the entrance will be provided with a batch that will promote our initiative of making this event sustainable. because of the time of coronavirus we have also ensured the area to be sprawled for a large number of participants and people who would be made sure to sanitise their hands and check of temperature. A team of student volunteers has also been assigned the task to ensure everyone is wearing masks.
The event is overall planned with love and enthusiasm and a lot of works has been put by a large number of students volunteers, professors and helpers and everyone hope it executes perfectly.

It is a great privilege to be appointed as a coordinator for the Annual Cultural Festival ‘Zenith 2022’ for BVC Academy. The three day Cultural Festival is scheduled to take place in exactly two months from 10th May 2022 to 12th May 2022. Being an FY Event Management student I am really excited and looking forward to making this the most happening and memorable event for everyone.
BVC Academy offers a wide range of courses comprising of Business Management, Fashion Designing, Film Making, Photography, Event Management, Mass Communication, Fine Arts, etc. also there are crash courses on music, dance, instruments, martial arts, and many more. This wide spectrum of fields will offer something for everyone to contribute to this fest. Students can choose which event they want to participate in.
For any event the first thing that is required is funds. Though our college sets aside funds every year, I plan to add a social cause to it. The profits earned will be used to help the handloom industry which are striving hard to survive the effects of the pandemic.
I have intended to make small teams for each programme and assign 2 leaders to the team. These team leaders will directly report to me on the daily progress. Firstly, the Business Management team will look after the finances. They need to bring funds through advertisers and food/games stalls. The huge college auditorium will be very helpful for indoor events. The outside open area can be given out on rent for food, games, etc. The decoration cost, rental dresses, and every other expense will be taken care of by the finance team. The whole event will be covered by the Photography students and will be telecasted Live on the official BVM College site.
On Day 1 I have planned to invite ‘Brigadier M.P.Singh(Retd)’ as the chief guest who will share the experiences of an Indian soldier. The first day will highlight the diverse Indian Culture. The event will start with two Documentary Films on the lesser-known Indian tribes. This will be done completely by the Film Making students. Then it will be Poetry and Recitation by BA (Literature) students. It will be in many regional languages which will depict the linguistic diversity of Indian culture. In the second half, there will be outdoor activities with games, a selfie corner and posters of writers, films and filmmakers, showcasing the different cultures. The centre of attraction will be food stalls which students along with their families can put up to promulgate their traditional/authentic food.
On Day 2 my plan is to invite Padma Shri ABC who is a world-famous flautist coming from one of the remotest tribes of southern India as the Chief Guest. The first event will be Debate. The topic will be ‘Shall the tribal people of India be forced to mingle and merge?’ After this, I am planning to invite a Martial Arts (Taekwondo) troupe to perform on stage. Next will be the Classical/Folk Dances of famous as well as lesser-known regions. The main attraction will be, that it will be performed on live music with students themselves playing the musical instruments. In the second half, there will be the Cultural Walk where the 3D projects will be displayed to exhibit the various festivals of different religions, their art and architecture, religious symbols, epics, languages etc. This will be headed by Fine Arts students.
The final day will be graced by a group of Handloom workers as Chief Guests. They will share their life experiences and how they are managing to sustain themselves in this fast-growing world of fashion. The first event will be Face Painting where students will have to paint their faces with a message and talk in accordance with the social cause that they feel needs to be highlighted. It will bring awareness to all. The next will be the Fashion Show where the Fashion Designing students will design clothes depicting various cultures by using region appropriate fabrics. College students will walk on the ramp. In the second half as an outdoor event, huge cutouts exhibiting Indian culture will be placed everywhere and people can take pictures by popping out their faces from the cutouts.
There will be stalls where visitors can buy Handloom sarees, pots and pottery, handmade jewellery, etc. there will be food stalls and dance and music. At the end of the event, the profits earned will be given to the Handloom workers as a token of appreciation for the hard work they put in. This would be the best possible closure to the Cultural Festival‘Zenith 2022’.
